Dearly helps you turn a written note into something worth sending — a letter, a voice note, a small piece of you. Because what people write here is often personal, we keep our data practices simple and honest. This page explains what we collect, why, who we share it with, and how to get it deleted.
Who runs Dearly. Dearly is operated by Bhanu Kowshik Papineni, an individual based in Oakland, California, USA. For any privacy question or request, email hello@dearlynotes.app.
We only collect what's needed to create and deliver your letters. That includes:
We do not ask you to create an account, and we don't collect names, passwords, or payment details for sign-up, because there is no sign-up.
We do not sell your personal data, and we don't use your letters to advertise to you.
We use a small number of trusted service providers ("subprocessors") to run Dearly. Your data passes through them only to deliver the features above:
| Provider | What it handles |
|---|---|
| Supabase | Stores your letters, voice notes, and images |
| Vercel | Hosts and serves the app |
| Resend | Delivers letters sent by email |
| Anthropic (Claude) | Generates a suggested email subject line from your letter |
| ElevenLabs | Converts text to speech |
| Google Analytics | Aggregate usage analytics (only with your consent) |
| Microsoft Clarity | Anonymised usage analytics and session replay to improve the experience (only with your consent) |
Each provider processes data under its own privacy terms. We share only what each one needs to do its job.
When you share a letter — by link, QR code, or email — anyone who has that link can open it, along with any voice notes or images in it. Shared content is reachable by its link and is not protected by a password. Please only share letters with people you trust, and only send to recipients who expect to hear from you.
Dearly does not load any analytics or tracking cookies until you accept them. When you first visit, you'll see a short banner. If you accept, we load Google Analytics and Microsoft Clarity to measure aggregate usage and record anonymised session replays (mouse movement, clicks, and scrolling — never your keystrokes) so we can see where the experience can be improved. If you decline, no analytics cookies are set and no session is recorded. You can change your mind by clearing your browser storage for this site, which brings the banner back.
We keep your letters, voice notes, images, and any recipient email you entered until you ask us to delete them. We don't currently auto-expire shared letters. If you'd like something removed, email us (see below) and we'll take care of it.
You can ask us to:
To make any of these requests, email hello@dearlynotes.app. We'll respond within 30 days. Because Dearly has no accounts, please send your request from, or include, the email address or link tied to the content so we can find it.
If you're a California resident, you have rights under the CCPA/CPRA, including the right to know what we collect, the right to delete, and the right not to be discriminated against for exercising those rights. We do not sell or "share" personal information as those terms are defined under California law. Use the same email above to exercise these rights.
Dearly is not intended for children under 13. We don't knowingly collect personal information from anyone under 13. If you believe a child has used Dearly, email us and we'll delete the related data.
We may update this policy as Dearly grows. When we do, we'll change the "Last updated" date at the top. Significant changes will be made clear within the app where practical.
